YOUR BUSINESS. USEFUL CONVERSATIONS.

Customer support automation with a human route

LeadVaani can answer routine website support questions using your business policies and let your team continue conversations that need review. It supports a first-response workflow, not a guaranteed resolution of every customer issue.

Automate explanations your team repeats

Start with questions answered by a stable policy: how a service works, where to find a published guide, or what information the team needs to review a request. Supply the approved answer and any exceptions. This can make a first response more consistent without requiring staff to type it each time.

Do not automate decisions that need account access or judgement unless the required workflow is actually connected and authorised. The website widget does not automatically know an order status, approve a refund, or modify a customer account simply because it can discuss a policy.

Keep the conversation honest about access

If the assistant lacks live inventory, order, or billing access, state that in source information and response expectations. A visitor should not mistake a general policy explanation for a decision about their own transaction.

Use a team contact route for case-specific requests. Collect only the context needed to route the issue, and avoid passwords, full card numbers, sensitive documents, or private account credentials. Identity checks should follow a business-approved process.

Review recurring support gaps

Read conversations that ended without a useful next step. Identify whether the missing piece is a fact you can add, a confusing policy you need to rewrite, or an issue requiring a person. Different causes need different changes.

A factual gap can be fixed in knowledge and retested. A policy disagreement needs human review. An interface problem may require widget placement or installation changes. Do not treat every failed conversation as a reason to increase sales prompts.

Suggested support flow

Visitor: I need help understanding your cancellation policy.
Assistant: [Explain the verified policy and relevant conditions.]
Visitor: My case is different.
Assistant: Our team should review that. Please describe the issue without sharing passwords or payment credentials.
Team: Review the context and explain the authorised next step.

Define who handles exceptions

Assign responsibility for conversations needing a person and for updating knowledge. Check that staff can find the records and respond through the dashboard. A handoff message without a reviewed queue does not resolve a customer problem.

Avoid promising a support response time you cannot maintain. The automated assistant may be available after hours while human follow-up waits for staff. Publish accurate contact details and keep your existing support channels accessible.

Evaluate support value carefully

Reply count is not resolution count. Review whether answers were correct, whether visitors needed to repeat information, and whether the staff response addressed the issue. Keep those observations separate from lead-generation outcomes.

Optional visitor analytics measures opted-in website behaviour, not a full support satisfaction survey. Do not invent satisfaction ratings, resolution rates, or independent audit claims. Use your own observed workflow to decide what the assistant should handle next.

Test a case the assistant cannot resolve

Use a synthetic request that requires checking an account or approving an exception. The assistant should explain its limit and offer the approved team route. It should not claim an order was checked, a refund was processed, or a ticket was resolved without a real authorised action.

Ask staff to continue that conversation and note which details are actually needed. Remove unnecessary questions from the automated flow. A long collection form can create more work if the team still needs to repeat the same clarification later.

Keep policies and escalation contacts aligned. When a support policy changes, update the source and retest the exception as well as the normal answer. Review the queue for unresolved requests instead of assuming that a generated response completed the work. The purpose of automation is a useful first step, while staff remain responsible for decisions the chatbot cannot make.

A controlled trial to adapt

Example to adapt: a visitor asks where to find your public setup guide, then says their own account behaves differently. The first question may be answered from published information. The second may need a person with authorised account access. Check that the assistant distinguishes the two, avoids asking for a password, and provides a useful team route. Staff should be able to read the preceding context without repeating the entire exchange. Record whether the visitor knows what happens next. This synthetic test checks routing, not a measured support-resolution rate.

PRACTICAL ANSWERS

Questions before you start

Can the chatbot approve a refund?+

Not by itself. It can explain the supplied policy, but a case-specific approval needs an authorised workflow and team review.

Does the widget know my customer orders?+

Website embedding does not automatically connect order data. Native ecommerce order access is not confirmed.

Can staff continue the conversation?+

Yes. Staff can review and reply from the dashboard. Availability depends on your team process.

How should I measure a support trial?+

Review useful answers, corrections, repeated questions, and human follow-up. Do not equate automated replies with resolved issues.

Build a useful first conversation.

Use your own business knowledge and test the replies before publishing.
