YOUR BUSINESS. USEFUL CONVERSATIONS.

Live chat handoff with clear human follow-up

Your team can review LeadVaani conversations and reply from the dashboard when a visitor needs a person. The process depends on staff attention and configuration; an AI offer of help is not proof that an agent has joined immediately.

When a person should continue the conversation

Some questions need information that cannot be safely inferred from a website policy. A custom quote, a complaint, a disputed payment, or a consequential decision may require judgement. Teach the assistant to state its limits and offer the relevant contact route.

Review recurring unanswered questions. If the same factual detail is missing, improve the knowledge. If the request genuinely needs a person, avoid forcing the assistant to answer simply to keep the chat automated. A useful handoff preserves context and sets a realistic expectation.

Make availability clear

Do not advertise immediate live support unless staff are actively available through the process you have tested. The website assistant may run after office hours, but a person will still need to review and respond. Configure greetings and source policies so they distinguish an automated answer from human follow-up.

If you publish office hours or a response estimate, use a commitment your team has approved and can maintain. This product page does not supply a guaranteed response time. A visitor should understand whether they are continuing in the chat, requesting contact, or opening an external email or phone route.

Review context before replying

The dashboard conversation gives staff the visitor question and preceding replies. Read that context before responding so the visitor does not have to restart the explanation. Check whether the assistant has made an inaccurate claim, and correct it clearly when needed.

Human replies can address the issue and explain the next action. Keep private account information out of a public or unverified conversation. If identity verification is needed, use a process approved by your business rather than asking for passwords or sensitive documents in chat.

Handoff wording to adapt

Assistant: I do not have enough information to confirm that. Would you like our team to review the request?
Visitor: Yes, I need help with a custom requirement.
Assistant: Please describe the requirement and share your preferred contact method if you want follow-up. I cannot confirm when a team member will be available.
Team: Review the conversation, correct any unclear answer, and explain the next action.

Assign responsibility for the follow-up queue

A contact request is useful only if someone reviews it. Decide which team member handles new conversations, appointment requests, and uncertain answers. Review workload and plan team limits before giving the assistant a greeting that implies broad staffing coverage.

Configure available tasks, tags, or notifications around that process, then test them with your own enquiry. An enabled setting is not proof a message reached the person responsible. Check the actual dashboard record and notification delivery where applicable.

Test the transition from automation to a person

Ask a question outside the knowledge and review the response. Submit a test request and have a team member reply from the dashboard. Check what appears in the visitor widget and whether the next step is understandable. Do not infer successful handoff from a friendly AI sentence alone.

Repeat the trial on mobile and when the staff member is unavailable. Keep configured contact links usable for visitors who prefer another channel. A WhatsApp link opens that channel; it does not synchronise external replies into this conversation automatically.

Check what happens when the team is unavailable

Try the handoff flow when no staff member is watching the dashboard. Read the wording from the visitor perspective. If it suggests a person is typing or has already accepted the request, correct it to explain that the team needs to review. Automation can collect context while a queue waits, but it should not impersonate staff presence.

Then have a staff member return to the conversation and reply. Verify that the visitor can understand who is speaking and what action is expected next. Check a longer message on mobile, including whether it can be read without losing access to the message box.

Keep an alternative contact route for urgent or sensitive matters your website chat is not intended to handle. Staff should know when to move a case to an approved account-verification process. A handoff is a change in responsibility, not permission to request private credentials or to make a commitment unsupported by business policy.

PRACTICAL ANSWERS

Questions before you start

Can my team write a reply from the dashboard?+

Yes. Staff can review conversations and send human replies through the workspace conversation workflow.

Native WhatsApp conversation synchronisation is not implemented. A contact link opens WhatsApp as a separate route.

How should I test handoff?+

Submit a test enquiry, have a staff member review and respond, and check the visitor widget and next-step wording.
